Loaners

Loaner Equipment Tracking for Biomed Repair Shops

Know which loaners are on the shelf, which are out, who has them, and whose pump is on your bench. Technicians record the swap from their phone, even with no signal, and the loaner and the customer’s unit move together as one event.

What is loaner equipment tracking?

Loaner equipment tracking is how a repair shop keeps control of the units it lends to customers while their own equipment is being repaired: what is available, what is out on loan and at which facility, what came back needing repair, and where every unit has been. In Bravio, only equipment your company owns can join the loaner pool, and it joins only when someone enrols it. Issuing a loaner records two movements as one event (your loaner out to the facility, their unit in to your shop), a return is recorded with its condition, and a unit that comes back needing repair is held out of the pool until someone clears it.

A Pool You Control

Nothing joins automatically. Review your company-owned equipment and mark the units you are willing to lend. A customer’s device on your bench is never in the pool, however long it has been there.

The Swap, From the Phone

The technician records the swap standing in front of the equipment. It works with no signal and sends itself later, so a swap in a hospital basement is recorded at the time it happened.

One Event, Two Movements

The loaner goes out and the customer’s unit comes in, recorded together, so later it reads as one swap rather than two unrelated moves that happen to share a date.

Returns by Condition

Back in good condition: it returns to the pool as available. Needs repair: it is held out of the pool until someone clears it, so it cannot go to the next customer by mistake.

A Custody Timeline for Every Unit

Where is this unit now, who has it, where has it been and who moved it. Location and ownership are tracked separately, so a loaner at a facility is still yours.

Issued After the Fact? Still One Job

Picked up a unit on Monday and decided on Wednesday the customer needs cover? The loaner attaches to the existing repair job instead of opening a second one.

Three states, no ambiguity

StateWhat it meansWhat can happen next
AvailableIn the pool, at your shop, ready to lendIssue it to a facility, from the office or from a technician’s phone
Out on loanAt a customer facility, against a repair jobReturn it as Good or as Needs repair
Held for repairCame back needing repairCleared back into the pool once it has been fixed

A unit is in exactly one state at a time, which is what makes the question “how many loaners do we have free?” answerable without walking the shelves.

Why ownership, not location, decides what can be lent

“Everything currently in the shop” is the tempting definition of the loaner pool, and it is the wrong one. On any given day a shop holds customers’ pumps, monitors and beds waiting for parts, and lending one of those to a different customer is a serious mistake. Bravio separates where a unit is from whose it is: moving a customer’s pump to your bench changes its location, not its owner. Only units your company owns, and that someone has deliberately enrolled, can be issued.

Who tracks loaners in Bravio?

  • Biomed repair shops that lend pumps, monitors and other devices during depot repairs
  • ISOs that promise cover equipment in their service contracts
  • Shops that currently track loaners on a whiteboard or in a spreadsheet tab

How we work with you

Bravio is built around how your shop actually runs.

Not around how software companies assume it runs. The product is shaped by real service weeks inside independent biomed shops — their PM lists, their inspection forms, their report layouts. Yours get the same treatment.

How we start

We start by watching you work

A 30-minute session where you walk us through a real week — the PM list, the paper checklists, the spreadsheet nobody wants to touch. No slide deck.

Roadmap

Your workflow shapes the roadmap

If your inspection form, report layout, or PM cadence does not fit what we have built, we change the product. You see it ship in weeks, not quarters.

Support

You talk to the people writing the code

No account manager, no ticket queue, no support tier. A direct line to the team building Bravio.

Your data

Your data stays yours

Import from spreadsheets, export everything whenever you want. If Bravio is not the right fit for your shop, we will tell you on the call.

What to expect

Book a 30-minute working session

You will be talking to the team that builds Bravio — not a sales rep.

  • Asset registry, work orders, PM schedules, rapid inspections, signed and audit-trailed service reports, and invoicing — all in production today.
  • The people building Bravio are the people you deal with. No account manager in between.
  • We go through pricing openly on the first call, sized to the shop you actually run. Flat plans, no per-user tiers, no implementation fees.
  • Bring your equipment list and your report format. You will see Bravio running on your own data before you commit to anything.

Frequently Asked Questions

Can a customer’s own device be lent out as a loaner?

No. Only equipment your company owns can join the loaner pool, and only when someone explicitly enrols it. A customer’s device in your shop stays theirs and is never offered as a loaner.

Can a technician issue a loaner with no signal?

Yes. The swap is recorded on the phone and sent automatically when it reconnects, with the time it physically happened.

What if we decide to send a loaner days after picking up the unit?

You can issue a loaner after the fact. It attaches to the existing repair job rather than opening a new one.

How do we stop a damaged loaner going out again?

Return it with the condition Needs repair. It is held out of the pool until someone clears it, so it cannot be issued to the next customer by mistake.

Is loaner tracking included in Bravio?

Loaners is a module we switch on for your account. Ask for it during setup or on a demo.
