How a biomed repair shop runs a work order in Bravio
One repair job, from the customer’s service request to the signed report and the invoice — the way your customers, your office and your technicians actually use it.
Step 1 of 6
Medical equipment service requests, from your portal or by phone
Your customers report faults on a request form with your name on it — on your website or their own portal. The facility, department, the device and its serial, what is wrong and who to call back all arrive together, so nobody plays phone tag to find out which pump in which bay.
Plenty of requests still come in by phone. Whoever takes the call logs it in the same queue with “Log a call”, so a phoned-in fault and a portal request are handled exactly the same way from here on.
Step 2 of 6
Turn a service request into a work order in one click
New requests land in Calls-Intake, already tied to the facility and the asset. Triage them there, then Promote: the work order is created with the asset linked, the job type set and the customer’s contract rates applied. Nothing is typed twice.
Step 3 of 6
Dispatch the right technician and text the customer an ETA
Assign and schedule the job in seconds. When the technician sets their status to “On route”, the hospital gets an ETA by text and email, and travel time starts logging itself — so the office is not fielding “when will someone be here?” calls, and nobody reconstructs travel time on Friday.
Step 4 of 6
A technician app that works offline
The job, the asset’s service history and directions are already on the technician’s phone — including in basements, shielded imaging suites and anywhere else with no signal. Tapping “On site” starts the labour timer. Scanning the asset’s barcode opens the right procedure for that device.
Step 5 of 6
Service reports with readings, photos and signatures
Checks and readings are graded against the procedure’s ranges as they are entered, so an out-of-tolerance reading is flagged at the device, not discovered at the office. Photos are compressed on the phone, the customer signs with a finger, and every tap saves itself — offline too — and syncs when the phone is back in coverage.
Step 6 of 6
Signed, ISO 13485-aligned reports and one-click invoicing
The report reaches the office as a branded, ISO 13485-aligned PDF with both signatures, ready to send to the facility. The asset is back to Active, labour and parts are already on the job at contract rates, and the invoice is one click — synced to QuickBooks or Xero, so it is not typed in again.
Where to go from here
Inspection sweeps work the same way, with a scan per device — see biomedical inspection software. For the accounting side, see QuickBooks and Xero sync. Comparing tools? See how Bravio compares with TruAsset, BlueFolder and others. Or watch this same job as a 40-second walkthrough on the home page.
