How Much Does Biomedical CMMS and Field Service Software Cost? Pricing Models Compared

biomedical CMMS pricingmedical equipment maintenance software costCMMS cost per userfield service software pricingTruAsset pricingbiomed software cost small businessCMMS pricing comparison

Short answer: general-purpose CMMS tools mostly charge per user. As of October 18, 2026, MaintainX lists $20 to $65 per user per month (billed annually) on its published paid plans and UpKeep lists $24 to $55. BlueFolder, a general field service tool, lists $62.50 to $110 per user per month. Jobber sells bundles of users. The hospital-focused biomed CMMS vendors we checked (TruAsset and EQ2 HEMS) don't publish prices; you request a demo. For a biomed shop with 8 to 12 logins, the pricing model, and what you have to build yourself, matter more than the headline number.

Every figure below comes from the vendor's own pricing page on the date shown, with a link so you can check it. Prices change. Treat this as a starting point for your own quotes, not a quote.

What would an 11-person biomed shop pay at list price?

Take a shop with 8 technicians, 2 office staff and the owner: 11 logins. Here's the license cost at published list prices, before tax, discounts or add-ons. This is arithmetic from the table above, not a quote from any vendor.

Plan (billing)CalculationPer monthPer year
MaintainX Essential (annual)11 × $20$220$2,640
MaintainX Premium (annual)11 × $65$715$8,580
UpKeep Essential11 × $24$264$3,168
UpKeep Premium11 × $55$605$7,260
BlueFolder Pro11 × $62.50$687.50$8,250
BlueFolder Pro Plus11 × $92$1,012$12,144
Jobber Connect, 10 users + 1 extra (annual)$229 + $29$258$3,096

Two things stand out. Per-user pricing grows with headcount, so hiring your ninth tech raises your software bill too. And the cheapest rows are general tools, so the real question is what it costs to make them work for biomed.

Which costs don't appear on the pricing page?

  • Building the biomed parts yourself. General CMMS and FSM tools don't come with device-level PM procedures, electrical safety test fields, risk flags or customer-facing service reports. Someone has to set them up, usually you, at night.
  • Moving your data. Getting assets, customers and service history out of spreadsheets or an old CMMS, cleaning it, and importing it. Ask whether migration is included or billed.
  • Implementation and training fees. Common with quote-based vendors. Ask for them as a separate line.
  • Paid add-ons. Some features cost extra. Limble, for example, says additional costs may apply for some features, including 21 CFR compliance and onsite implementation.
  • Who counts as a user. MaintainX counts anyone with a unique login but makes requester accounts free. UpKeep doesn't charge for view-only, requester and third-party users. If your customers log requests, check whether they're free.
  • Monthly vs annual billing. MaintainX Essential is $25 billed monthly and $20 billed annually: a 25% difference for the same plan.
  • Accounting integration. If invoices have to be retyped into QuickBooks or Xero, that's office time every week.
  • Getting your data out. Ask how you export everything if you leave, and in what format.

Questions to ask any vendor before you sign

  1. Who counts as a paid user? Do technicians who only use the mobile app count? Do customers who log requests?
  2. What's the total first-year cost, including setup, migration and training?
  3. Is data migration included, and who checks the migrated records?
  4. Does the price change if I add technicians or customer sites?
  5. Can I see a service report from your system for a device like mine, with electrical safety test results on it?
  6. Does the technician app work with no signal, in a basement or an MRI suite?
  7. Can I invoice from a closed work order, and does it sync to my accounting software?
  8. How long is the contract, and what's the notice period?
  9. How do I export all my data, including service history, if I leave?
  10. Who do I call when something breaks, and how fast do they answer?

How Bravio prices

Bravio is CMMS and field service software built only for independent biomed shops and ISOs. It's free to start, with no credit card. We set up your workspace and migrate your assets, customers and service history for free, and check every migrated record with you before go-live. Plans are flat rather than per-user, so the price is not multiplied by headcount, and there are no implementation fees. Device records, PM schedules, signed ISO 13485-aligned service reports, invoicing and QuickBooks Online / Xero sync are part of the product, not something you build.

Get started free, or book a 30-minute demo and we'll walk through pricing for your shop size. For feature-by-feature comparisons, see Bravio vs other CMMS and FSM tools.

Frequently asked questions

How much does CMMS software cost per user?

On published pricing pages checked October 18, 2026, MaintainX lists $20 (Essential) to $65 (Premium) per user per month billed annually, with a free Basic plan, and UpKeep lists $24 (Essential) to $55 (Premium) per user per month. Enterprise tiers from both are quoted. BlueFolder, a field service tool, lists $62.50 to $110 per user per month.

Do biomedical CMMS vendors publish their prices?

Of the healthcare CMMS vendors we checked, TruAsset and EQ2 HEMS do not list prices on their websites; both ask you to request a demo. Limble prices through an online calculator rather than a published list.

What would CMMS software cost a 10-technician biomed shop?

It depends on the model. At list price, a shop with 11 logins would pay about $2,640 a year on MaintainX Essential billed annually, $3,168 on UpKeep Essential, or $8,250 on BlueFolder Pro, before add-ons. General tools also need the biomed parts built in-house: PM procedures, safety test fields and customer-facing reports.

Does Bravio charge per user?

No. Bravio uses flat plans rather than per-user pricing, has no implementation fees, and is free to start with no credit card. Data migration is free.

Is there free CMMS software for a small biomed shop?

MaintainX has a free Basic plan, and Bravio is free to start. Free general-purpose plans rarely include what a biomed service company needs to bill customers and hand over signed service reports, so check those features before committing.
